Creating Contacts

How can I create a new contact related to an address.

People or Contacts are individuals associated with any Client or Vendor (Address ID).

There are 2 ways to create a new contact.

Step 1 A:

  1. Click on Projects->Clients and open the Address ID you want to associate the new contact with and click the People tab.
  2. Then click the New Contact button.

or

Step 1 B:

Click + New and then click Contact

Step 2:

At a minimum, fill in the required fields.  (Address ID and Name).

  1. Address ID - should be the Address ID of the Client or Vendor you want the contact to be associated with.  This may auto populate when adding a new contact.
  2. Name


Step 3:

Add additional information for the contact like:

  • Phone (mobile, home or work)
  • Email (work or home/personal)
  • Preferred Email
  • Types of emailed documents
  • Personal notes about the contact

Pro Tip:  Automate your correspondence by checking individual boxes for each document type.  This will include the email address on those designated documents.  As long as you have the document type and preferred email selected, the contact's email will auto-populate as described below.

Email Options RFQ, Proposal, Purchase Order, Invoice:

  • Email RFQ's:  Vendor Contact's preferred email address will be added when sending an RFQ via e-mail.
    • This will default to the 'Email work address'  If 'Email home address' is checked, it will also be included.
    • This will be in addition to the default Vendor email address.
  • Email Orders:  'Email To:' auto fills with Vendor Contact's preferred email address when sharing purchase orders.
    • The 'Email Work Address' and/or 'Email Home address' must be checked, depending on the preference.
    • This will be in addition to the Vendor email address.
  • Email Proposals:  'Email To:' auto fills with the Client Contact's preferred email address when selecting to share Proposals.
    • The 'Email Work Address' and/or 'Email Home address' must be checked, depending on the preference.
    • This will be in addition to the Client email address.
  • Email Invoices:  'Email To:' auto fills with the Client Contact's preferred email address when selecting to share Invoices.
    • The 'Email Work Address' and/or 'Email Home address' must be checked, depending on the preference.
    • This will be in addition to the Client email address.

Copy To:

Add this contact via CC on emailed documents.  Acts as described above, but email address is auto filled into the CC section of the message.

  • Email Orders CopyTo
  • Email Proposals CopyTo
  • Email Invoices CopyTo

Client Portal / Interactive Documents email options:

This Contact will receive auto-generated response emails from Studio Designer when the Client takes the following actions:

  • Receive Approval/Reject Interactive Documents
  • Receive Approval/Reject Client Portal
  • Receive Like/Dislike Client Portal

Note: Make sure that the Email Home or Email Work Address box is checked so the email address will actually be included.
