How do I add a Time Billing user?

This article will explain how to add a Time Billing user and provide details on the Time Billing license type.

With a Time Billing license, users can access to the Activities and Time Billing modules to enter their hours and time billing.

If a member of your team only needs to access Studio Designer to enter time, sign them for a Time Billing license. Here's how:

 

Step 1. Go to Settings and select Add/Remove Users.

 

Step 2. On the Add/Remove Users page fill out the user’s information (First Name, Last Name, Email). In the "Subscription" drop-down, select "Time Billing".

 

Step 3. Once you have everything filled out, click on Add.

Note: If you have the employee profile created already, then you can use the fields at the bottom to quickly add the new user.

 

Step 4.  Your newly added user will now appear in the Active User list also found on the same page.

Note: Below are instructions for your Time Billing user to enter time and activities.

 

How to Enter your Time:

Step 1: On the navigation bar, select "Time Billing":


Step 2:
Enter the following information:

Activity is the ID you wish to label this time billing entry for. This may be for a "Design Meeting", "Consultation", etc. Your selections will be based on the "Activities" made in your "Settings".

Employee shows a list of your employee added under your "My Employees" section to assign for this time billing.

Client/Project is the client or project this time billing is involved with.

Date sets the date this time billing took place.

Start/End Time shows the start and end time of the activity.

Quantity refers to the amount of time according to your "Start/ End Time"

Client Rate is the amount per hour being charged towards this Client.

Employee Rate is the amount the employee chosen charges for this Time Billing.

If this Time Billing is Billable or Taxable, check the checkboxes.

Step 3. Select "Save" to save your information for your new entry.

 

How to Enter an activity:

Step 1: On the navigation bar, select "Projects" then, "Activities".


Step 2:
Enter the following information:

Activity is the ID you wish to label this time billing entry for. This may be for a "Design Meeting", "Consultation", etc. Your selections will be based on the "Activities" made in your "Settings".

Employee shows a list of your employee added under your "My Employees" section to assign for this time billing.

Type will define what each activity generally is for. There are 5 valid types.

    • Calendar – activities generally tracked on a calendar and invoiced to clients.

    • Reminder – activities generally to remind you to follow up on something.

    • Reimbursable – activities generally for reimbursable expenses and invoiced to clients.

    • SP Message - activities automatically created within Studio Projects.

    • Phone - activities that you would generally invoice for time on the phone with clients

Client/Project is the client or project this time billing is involved with.

Sales Code will usually be set to Time Billing. You will have the option to assign any type of sales code depending on the circumstances.

NEW FEATURE: "Completed" is a date field that you can note the date the activity was performed and completed on. Simply use the convenient calendar icon directly to the right of the Completed field to select the date.
