Moving Funds From One Project To Another

As a designer, you can be working on more than one project at a time for the same client. This guide will walk through how to move funds from one project to the other if you find yourself in this position.

Funds must be in one of the Client/Projects Funds Available accounts. You'll need to post two payments.

  1. Remove payment from original project
    1. Head to Accounting > Money In
    2. In Section 1, set the Payment Method to Receive Client Payment
    3. In Section 2, set the Received From to the Client/Project you are trying to move funds from
    4. Set the Cash Account to Suspense; the Suspense account acts as a holding account to place the money into in order to remove from the current project and then deposit it into the other project.
    5. In the Check # field, enter Transfer
    6. In the Amount field, enter the amount to be moved as a negative value
    7. In the Description field, enter "Transfer to (name of Project/Client)"
    8. In the upper right-hand corner, click Post Payment
  2. Apply the payment to the new project
    1. Head to Accounting > Money In
    2. In Section 1, set the Payment Method to Receive Client Payment
    3. In Section 2, set the Received From to the Client/Project you are trying to move funds to
    4. Set the Cash Account to Suspense
    5. In the Check # field, enter Transfer
    6. In the Amount field, enter the amount to be applied as a positive value
    7. In the Description field, enter "Transfer from (name of Project/Client)"
    8. In the upper right-hand corner, click Post Payment

Note: If you need to print a report for the client, we suggest running 01 Cash Receipts by Client against the date you made the transfer. If these were only receipts recorded for that date, it will show both the negative and positive receipts being transferred.
