This article will break down the ways to mass update inactive items and inventory.
This feature has two purposes:
1. Change items to Inactive if the item is invoiced and the client balance is 0.
This utility updates 1,000 records at a time.
- Select Calculate items to update; the number displayed is the number of records that fit the criteria.
- Select Update Items
If the number displayed in #1 was more than 1,000 you'll need to do steps 1 & 2 multiple times until the number displayed after selecting Calculate items to update is 0.
2. Change inventory items to Inactive if the Quantity Ordered = Quantity Sold.
This is to make it only show inventory items that you actually have on hand.
- Select Calculate items to update; the number displayed is the number of records that fit the criteria.
- Select Update Items
If the number displayed in #1 was more than 1,000 you'll need to do steps 1 & 2 multiple times until the number displayed after selecting Calculate items to update is 0.
At this time we do NOT recommend changing items to inactive unless they are mistakes. Inactive items can still affect sub-ledgers, financial statements, invoices, orders, etc., which can be confusing to users unless they understand all of the consequences.
